What actions were taken by Bechtle to promote sustainability across its supply chain?

In its 2021 Sustainability Report Bechtle reports that it took the following actions for promoting sustainability across its supply chain:

Implementing a Supplier Code of Conduct

In 2014, Bechtle’s Purchasing and Legal departments designed a Supplier Code of Conduct for suppliers of goods and services as a control mechanism. This code is based on the principles and minimum requirements of the ILO Convention of Core Labour Standards. All newly contracted suppliers are requested by Purchasing to sign this Code of Conduct on an annual basis or to supply their own equivalent documentation. As of 31 December 2021, 189 suppliers and vendors have signed the Bechtle Supplier Code of Conduct. As in the previous year, 39 suppliers and vendors presented their own policies, which overlap with Bechtle’s own code in all essential respects. Combined, these represent 93 per cent of Bechtle’s purchasing volume.

To monitor its suppliers’ compliance with social and labour standards, Bechtle has been focusing on examining supplier-provided documentation on a project-related basis, such as audit and inspection or sustainability reports. Bechtle’s Sustainability Management regularly checks if any of its key suppliers have been flagged by the Business & Human Rights Resource Centre. Over the course of the reporting year, Supplier Management canvassed a variety of ways for Bechtle to monitor compliance with social and ecological standards along its supply chain in a reliable fashion. In the end, Bechtle chose EcoVadis as the way forward, meaning direct suppliers could be evaluated according to social and ecological criteria through a documents-based supplier audit. EcoVadis was used for this purpose beginning in the second quarter of 2022, with the results directly informing CSR risk management. In order to better perform due diligence with regard to human rights, and for the purpose of ongoing professionalisation of CSR risk analyses, Bechtle also solicited the advice of the German National Action Plan on Business and Human Rights (NAP). Through extensive evaluations, as well as an in-person and a virtual training seminar, Bechtle drew on support provided by the NAP Help Desk to lay the foundation for a realigned CSR risk analysis and, thus, its overall CSR risk management.

Abstract

Compal views growing the company’s economic value as its long-term goal and seeks to fulfill its social responsibilities as a global corporate citizen, responding to the expectations of shareholders, customers, partners and other stakeholders.
What are the material issues the company has identified?

In its 2021 Sustainability Report Compal identified a range of material issues, such as honest operation and anti-corruption, pandemic prevention and management, privacy and information security, labour practice and human rights. Among these, creating economic value for its stakeholders stands out as a key material issue for Compal.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The reporting organization shall identify its stakeholders, and explain how it has responded to their reasonable expectations and interests.”

Stakeholders must be consulted in the process s of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

What are the material issues the company has identified?

Among these, creating economic value for its stakeholders stands out as a key material issue for INTRASOFT International.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics Compeq engaged with its stakeholders through online surveys or paper questionnaires, collecting a total of 422 valid responses (a response rate of about 54%).

What actions were taken by Compeq to promote sustainability among its suppliers?

In its 2020 Sustainability Report Compeq reports that it took the following actions for promoting sustainability among its suppliers:

Evaluating suppliers

Compeq has established a comprehensive assessment mechanism for both new and current suppliers. First, it requests all suppliers to sign the “Compeq CSR Undertaking” and other relevant documents. Second, it uses different methods to evaluate different types of suppliers, issuing an audit notice to inform the supplier of the scope of audit. The audit scope covers social and environmental aspects, and the audit team will conduct the audit. At the end of each year, Compeq classifies current suppliers by CSR risk level (social and environmental aspects) into three levels: high, medium, and low. Low-risk suppliers will be checked if they have signed the Compeq CSR Undertaking. Medium-risk suppliers will be requested to fill in the Compeq CSR Self-Assessment Form. in addition to signing the Compeq CSR Undertaking, only suppliers with a score of over 80 points in the self-assessment will become qualified suppliers. High-risk suppliers will need to receive an onsite evaluation performed by Compeq’s CSR team in addition to signing the Compeq CSR Undertaking and receiving a score over 80 points in the self-assessment.

Auditing suppliers

In 2020, Compeq conducted onsite audits covering labour practices, health and safety, environment, ethics, and management system on 119 grade A suppliers, including materials suppliers, waste disposal contractors, and dispatched labour/foreign worker agencies in the high-risk group. Nonconformities found in the 2020 supply chain audit include the following:

In terms of labour practices, “recruitment discrimination”, “absence of grievance procedures”, and “violation of working hours” were the major nonconformities found in 2020.

In health and safety, ineffective implementation, absence of translation of hazard signs for foreign workers, and absence of periodic risk assessment in some plants were the nonconformities found in 2020.

Apart from requesting suppliers to propose corrective actions, Compeq will conduct a second audit where necessary to make sure all audited nonconformities are improved.

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

To minimise the potential for supply chain-related risks, HP works with its suppliers and other stakeholders in a wide range of ways to promote responsibility, so as to create an ethical, sustainable, and resilient supply chain. In order to promote sustainability among its suppliers HP took action to:

What are the material issues the company has identified?

In its 2020 Sustainable Impact Report HP identified a range of material issues, such as energy use and GHS emissions, human rights, product and operational health and safety, diversity and inclusion. Among these, promoting sustainability among its suppliers stands out as a key material issue for HP.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The organization should identify its stakeholders, and explain how it has responded to their reasonable expectations.”

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

Key stakeholder groups HP engages with:

Stakeholder Group

Employees

Investors

Suppliers

Customers

Peer companies

Public policy makers

Industry bodies

Nongovernmental organisations (NGOs)

Sector experts

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics HP engaged with its stakeholders through interviews with a wide range of internal and external stakeholders and an employee survey with more than 1,400 responses.

What actions were taken by HP to promote sustainability among its suppliers?

In its 2020 Sustainable Impact Report HP reports that it took the following actions for promoting sustainability among its suppliers:

Using a supplier Self-Assessment Questionnaire

HP’s supplier Self-Assessment Questionnaire (SAQ) includes detailed questions around social and environmental management and practices. As well as assisting HP to evaluate risk, identify areas for improvement, and determine a firm’s inclusion in its audit programme, self-assessment helps suppliers become more familiar with HP’s expectations of conformance to its Supplier Code of Conduct. During 2020, 167 production suppliers and 13 nonproduction suppliers completed SAQs.

Conducting supplier audits

HP’s supplier audit process is an essential component of its risk assessment framework and a key mechanism for identifying opportunities for sustained improvement with its suppliers. Supplier audits measure conformance with all provisions of the HP Supplier Code of Conduct in the areas of labour, health and safety, environmental, ethics, and management systems. HP also works with its final assembly suppliers to confirm they are conducting risk assessments of companies in their own supply chains that represent approximately 80% of their spend and auditing 25% of sites determined to be high risk, based on the RBA Code of Conduct. In 2020, HP completed 137 audits of production suppliers, product reuse and recycling vendors, and nonproduction suppliers, as well as three other assessments of production suppliers. HP also conducts targeted assessments to supplement its comprehensive audits, focusing on specific risk areas, including vulnerable workers (such as student, dispatch, and foreign migrant workers) and health and safety (including fire safety and emergency preparedness).

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

The GRI Standards addressed in this case are:

1) Disclosure 308-1 New suppliers that were screened using environmental criteria

Among these, promoting sustainability across its supply chain stands out as a key material issue for Getac.

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics Getac engaged with its stakeholders through a questionnaire survey.

What actions were taken by Getac to promote sustainability across its supply chain?

In its 2020 Sustainability Report Getac reports that it took the following actions for promoting sustainability across its supply chain:

Implementing a contract management mechanism

In addition to the traditional TQRDC (Technology, Quality, Responsiveness, Delivery, Cost) standards, Getac follows the RBA regulations on sustainability issues. Through its contract management mechanism, Getac includes sustainability-related issues, such as environmental protection, customer health and safety, anti-corruption, and intellectual property rights, in its standard purchase order (PO) and in its Master Purchase Agreement. Getac’s raw material suppliers must sign a statement stating their understanding of the terms and conditions of its standard PO, which states that the supplier must agree to statements and guarantees related to sustainability issues. Getac also asks suppliers to sign the Master Purchase Agreement, which requires suppliers and upstream suppliers to fulfill environmental responsibilities, respect labour rights, avoid the use of conflict minerals, engage in ethical management, and adopt sustainability practices. If suppliers violate any of the requirements, Getac reserves the right to terminate the contract and request for a penalty fine 10 times the amount of the damage and product orders.

Conducting a global suppliers sustainability survey

Getac adopts the Code of Conduct of the Responsible Business Alliance as the value base of supply chain management and provides further assistance in understanding the implementation status of supply chain partners. In 2020, Getac established the “Sustainability Zone” in Getac global Supplier Portal, and invited all Getac supplier partners to log in to reveal sustainable performance. A questionnaire survey was conducted based on the 603 raw material suppliers that had transactions in the previous year, and a total of 512 valid questionnaires were collected, a total of 85%. The survey results found that more than 40% of suppliers were verified by third-party organisations on CSR-related issues and passed the qualifications. More than 80% of suppliers provide more than one kind of internal employee education and training courses, including occupational safety, environmental protection and labour regulations, and more than 90% of suppliers use different methods such as internal or on-site audits to ensure that their supply chains jointly comply with corporate social responsibility.

Inviting suppliers to sign a CSR agreement

Getac hopes to work with suppliers to fulfill corporate social responsibility and implement the concept of “responsible consumption and production” in the United Nations sustainability goals, and invites suppliers to sign a CSR agreement, promising to fulfill corporate social responsibility, safeguard basic human rights, and promote environmental sustainability development. In 2020, 603 raw material suppliers that had transactions in the previous year were invited to sign and a total of 513 copies were received, which is about 85.07%.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics Quanta engaged with its stakeholders through questionnaires.

What actions were taken by Quanta to promote sustainability among its suppliers?

In its 2019 Corporate Social Responsibility Annual Report Quanta reports that it took the following actions for promoting sustainability among its suppliers:

Promoting supplier compliance

Suppliers are important business partners of Quanta, and their compliance with regulations pertaining to the environment, labour practices, human rights, and social impact aspects directly and indirectly affects Quanta’s business stability, product quality, on-time delivery capability, and business reputation. This is why Quanta has put in place stringent supplier management standards so as to select, audit, and manage suppliers. For business transactions, Quanta checks records to see if suppliers have violated any environmental or social regulations. Contractual terms allow for Quanta to terminate the contract if it is found that the supplier has violated policies that resulted in a significant negative impact on the environment or social community. Quanta has a composite supply chain in place whereby it can conduct unannounced on-site audits, or promptly initiate an audit of a supplier if major work-related or environmental incidents occur in certain areas or industries.

Auditing suppliers

Quanta performs onsite audits on general new suppliers with environmental, labour, human rights, ethics, and social impact indicators and surveys them with a two-way participatory survey as used on other suppliers. By the end of 2019, Quanta completed the onsite audit and two-way participatory survey on all new suppliers. In addition, all suppliers audited onsite in 2019 complied with the “Supplier Management Standard”, with a compliance rate of 100%. Once a SCAR (Supplier Corrective Action Request) is issued after the audit report, the supplier must respond with relevant improvement plans and achievements before the deadline. If a longer time frame is required due to amendments in regulations or equipment purchase, the case can be discussed separately. If the supplier fails to take action within the stipulated time, actions such as rejection or termination of contract will be taken. Quanta’s procurement system prevents it from placing orders with suppliers who fail to qualify for the recognised standards reviews. Suppliers found violating labour practices, human rights and ethics in the audit and failing to make corrections by a time limit will be rejected and disqualified for being a quality vendor of Quanta.
