What actions were taken by Compal to promote business honesty and integrity?

In its 2017 Corporate Social Responsibility Report Compal reports that it took the following actions for promoting business honesty and integrity:

Implementing ethics policies

Compal has established a series of internal policies with management procedures such as “Business Integrity Principles”, “Director, Supervisor and Manager Code of Conduct”, “Employee Code of Conduct”, etc., and made them part of employees’ mandatory e-learning. These policies exist not only to guide employees’ daily conduct, but also to give stakeholders a better understanding of Compal’s ethical standards. For customers and suppliers, besides following the RBA (ResponsibleBusiness Alliance) code of conduct, Compal also complies with customer’s CSR requests and is committed to obeying anti-corruption ethical standards. In an attempt to eliminate corrupt behaviour, in addition to Compal’s anonymous complaint channel, Henghao Technology has also created a set of “Ethics Policies” to guide employees’ behaviours. Meanwhile, dedicated personnel have been appointed to handle complaints concerning conduct breaching the ethical/integrity code. Additionally, to promote ethics and integrity in the supply chain, all suppliers are required to sign a “Supplier Integrity Commitment” and refrain from corrupt behaviours.

Providing a complaint channel

Compal strictly prohibits employees from taking bribes and has an “Ethics Officer” mailbox in the Taiwan Headquarters, to receive anonymous stakeholders’ complaints about any illegal conduct. All complaints are escalated to Compal’s senior ethics management representative for investigation. According to relevant procedures, Compal will activate practices after transferring the complaints to the responsible units, within 24 hours. In 2017, there were no corruption complaints.

Organising integrity training courses

To communicate with employees on the importance of integrity, Compal has been organising integrity training courses covering a wide range of topics that include corporate policies, employee code of conduct, the Personal Information Protection Act, anti-corruption, and mandatory topics required by law. All employees at the Taiwan Headquarters and overseas production centres, are required to complete the relevant training. In 2017, some of Compal’s Board Members also completed 45 hours of CSR and integrity training.

Promoting fair competition

To pursue fairness in its business activities in compliance with the Fair-Trade Act, Compal established a programme to promote fair competition and supervises its implementation outcome within each department. Compal is committed to not engaging in unfair competition, and has created a better environment and conditions for fair competition. Compal also avoids complicity, conspiracy, and collusion to disturb the fair competition environment and conditions or damage other operators’ legal rights. In addition, Compal encourages, supports, and protects the social supervision of every organisation and individual towards unfair competition and investigation procedures are implemented, if needed. The Management Department must conduct an immediate investigation whenever receiving suspicion, report, and verification requests of any previously described acts, and announce the investigation result. Legal actions can be taken if necessary. In 2017, there were no relevant violations of law.

What are the material issues the company has identified?

In its 2017 Corporate Social Responsibility Report Compal identified a range of material issues, such as economic performance, market presence, labour-management relations, customer health and safety. Among these, reducing the environmental impact of its products stands out as a key material issue for Compal.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The reporting organization shall identify its stakeholders, and explain how it has responded to their reasonable expectations and interests.”

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics, Compal engaged with its stakeholders through questionnaires, which were complemented by a new round of stakeholder surveys in 2018.

In its 2017 Corporate Social Responsibility Report Compal reports that it took the following actions for reducing the environmental impact of its products:

Making products easier to recycle and environmentally friendly

When designing its products Compal uses, as much as possible, environmentally friendly materials, also introducing numerous design improvements to make products easier to recycle. The environmental, sustainable and renewable designs that Compal implements include the following:

prohibiting or reducing the use of hazardous substances

using only one type of plastic materials, where appropriate

introducing renewable and bio-degradable plastics into electronic products

using plastic materials compatible with surface treatment materials, so that products can be recycled and reused

designing products in ways that make them easy to disassemble and recycle

using modularised designs so that main parts can be replaced and upgraded, extending the product life cycle

printing recycling labels on packaging materials, as a reminder to consumers

making sure all plastic objects weighing 25 grams or more have contents labelled in detail, to facilitate recycling

In addition, Compal designs all its products in accordance with WEEE (Waste Electrical and Electronic Equipment) standards, which require that at least 65% of the materials used are recyclable. For main notebook brand clients, Compal designs products to enable an even higher recycling rate (96%-100%).

Optimising packaging

Compal is constantly improving packaging design to reduce, simplify and make the optimum use of packaging materials, minimising their environmental impacts. Compal’s achievements in recent years include:

In 2011, Compal launched its patented square package design, which not only requires fewer resources but also enables consumers to keep the package and use it as a storage box.

In 2012, Compal replaced EPE (Expanded Polyethylene) materials with 100% recyclable cardboard.

In 2014, Compal increased the number of products per pallet from 78-84 to 102-120.

In 2015, Compal optimised EPE cushions for notebook PCs by consolidating the old 3-piece design into a single piece. By doing so, Compal reduced the use of packaging materials by 50% and materials surface by 48%.

In 2017, Compal greatly increased the use of automated equipment for picking, sealing, labelling and exterior examining before shipping, to reduce the human error rate.

What are the material issues the company has identified?

In its 2016 Corporate Social Responsibility Report Compal identified a range of material issues, such as economic performance, customer privacy, compliance, labor-management relations, products & services. Among these, promoting occupational health and safety stands out as a key material issue for Compal.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The organization should identify its stakeholders, and explain how it has responded to their reasonable expectations.”

Stakeholders must be consulted in the process s of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritize material issues based on stakeholders’ concerns, Compal carried out discussions with each stakeholder group.

What actions were taken by Compal to promote occupational health and safety?

In its 2016 Corporate Social Responsibility Report Compal reports that it took the following actions for promoting occupational health and safety:

Promoting workplace safety

Compal requires all employees to wear staff IDs inside plants. Additionally, an access card system at every entrance and exit controls personnel’s access. For clients, suppliers and other visitors a security system is utilized to record the time of visit and number of visitors, regulating the areas and time open to visitors. Moreover, Compal’s security personnel work in shifts 24 hours a day to control entry of personnel and objects, conduct safety inspections day and night inside and outside plants, monitor the presence of visitors and overtime workers, check incoming/outgoing vehicles and perform traffic control.

Identifying hazards in the work environment

Every Compal plant is staffed with a unit responsible for carrying out inspections and identifying hazards in the work environment. These inspections include, among others, traffic safety, power safety and security measures and drinking water, smoke detector, lighting protection and fire safety equipment tests. In addition, the Smart Devices Business Group tests office lighting, CO2 concentration, electromagnetic absorbency rate and lab organic solvent concentration, twice a year.

Providing emergency response training for employees

Once a year, Compal employees attend a training course on disaster prevention. Employees are required to complete the course, which provides information on how to deal with situations such as fire, storm, flood and earthquake. Compal also organizes fire drills, which are carried out yearly at all plants worldwide.

Promoting employee health and wellness

Compal offers red meat-free menus on the first working day of each month, to address employees’ dietary needs. Moreover, foods served in the cafeteria are specially designed by nutritionists every week, to control calorie intake and ensure employees’ healthy diet. Additionally, Compal’s Fitness and Recreation Center enables employees to exercise after work, relieve physical and mental stress built up at work and meet other employees who share the same interests.

Which GRI indicators/Standards have been addressed?

The GRI indicator addressed in this case is: G4-LA6: Type of injury and rates of injury, occupational diseases, lost days, and absenteeism, and total number of work-related fatalities, by region and by gender and the updated GRI Standard is: Disclosure 403-2 Types of injury and rates of injury, occupational diseases, lost days, and absenteeism, and number of work-related fatalities

78% of the world’s 250 largest companies report in accordance with the GRI Standards

SustainCase was primarily created to demonstrate, through case studies, the importance of dealing with a company’s most important impacts in a structured way, with use of the GRI Standards.
