Through all case studies we aim to demonstrate what CSR/ ESG/ sustainability reporting done responsibly means. Essentially, it means: a) identifying a company’s most important impacts on the environment, economy and society, and b) measuring, managing and changing.

To minimise the potential for supply chain-related risks, HP works with its suppliers and other stakeholders in a wide range of ways to promote responsibility, so as to create an ethical, sustainable, and resilient supply chain. In order to promote sustainability among its suppliers HP took action to:

use a supplier Self-Assessment Questionnaire

conduct supplier audits

What are the material issues the company has identified?

In its 2020 Sustainable Impact Report HP identified a range of material issues, such as energy use and GHS emissions, human rights, product and operational health and safety, diversity and inclusion. Among these, promoting sustainability among its suppliers stands out as a key material issue for HP.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The organization should identify its stakeholders, and explain how it has responded to their reasonable expectations.”

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics HP engaged with its stakeholders through interviews with a wide range of internal and external stakeholders and an employee survey with more than 1,400 responses.

What actions were taken by HP to promote sustainability among its suppliers?

In its 2020 Sustainable Impact Report HP reports that it took the following actions for promoting sustainability among its suppliers:

Using a supplier Self-Assessment Questionnaire

HP’s supplier Self-Assessment Questionnaire (SAQ) includes detailed questions around social and environmental management and practices. As well as assisting HP to evaluate risk, identify areas for improvement, and determine a firm’s inclusion in its audit programme, self-assessment helps suppliers become more familiar with HP’s expectations of conformance to its Supplier Code of Conduct. During 2020, 167 production suppliers and 13 nonproduction suppliers completed SAQs.

Conducting supplier audits

HP’s supplier audit process is an essential component of its risk assessment framework and a key mechanism for identifying opportunities for sustained improvement with its suppliers. Supplier audits measure conformance with all provisions of the HP Supplier Code of Conduct in the areas of labour, health and safety, environmental, ethics, and management systems. HP also works with its final assembly suppliers to confirm they are conducting risk assessments of companies in their own supply chains that represent approximately 80% of their spend and auditing 25% of sites determined to be high risk, based on the RBA Code of Conduct. In 2020, HP completed 137 audits of production suppliers, product reuse and recycling vendors, and nonproduction suppliers, as well as three other assessments of production suppliers. HP also conducts targeted assessments to supplement its comprehensive audits, focusing on specific risk areas, including vulnerable workers (such as student, dispatch, and foreign migrant workers) and health and safety (including fire safety and emergency preparedness).

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

The GRI Standards addressed in this case are:

1) Disclosure 308-1 New suppliers that were screened using environmental criteria

Disclosure 308-1 New suppliers that were screened using environmental criteria does not correspond to any SDG.

Disclosure 414-1 New suppliers that were screened using social criteria corresponds to:

In its 2018 Sustainable Impact Report HP reports that it took the following actions for upholding and promoting human rights:

Providing human rights leadership

Human rights leadership comes from the highest levels of HP. HP’s CEO has approved HP’s Sustainable Impact and Human Rights Policy, and signs HP’s annual public statement about its efforts to eradicate modern slavery. The Nominating, Governance and Social Responsibility Committee (NGSRC) of the Board of Directors oversees human rights within HP, reviewing the results of the annual human rights assessment and approving HP’s modern slavery statements. HP’s company-wide Human Rights Council, established in 2017, further strengthens HP’s management of human rights risks across the company. It is chaired by the head of the Human Rights Office and includes senior management from Ethics and Investigations, Global Indirect Procurement, Human Resources, Privacy, Supply Chain Responsibility, and Technical Regulations. The Council meets twice a year to coordinate on due diligence and performance improvements for respecting human rights and to approve the annual human rights assessment, which includes identification of salient risks and impacts. In 2018, the Human Rights Council approved an initiative to conduct third-party audits of a number of HP offices, to expand HP’s monitoring and validate the company’s approach.

Training employees on human rights

All employees and members of HP’s Board of Directors complete the annual Integrity at HP training to strengthen their understanding of how HP conducts its business, including training related to human rights issues. HP also provides annual training for relevant procurement staff that covers the context of forced labour and slavery, identification of forced labour conditions, company policies and standards to combat modern slavery, who to contact for help, and how to report related information.

Providing grievance mechanisms

When violations of HP’s policies and expectations occur, HP offers multiple channels for employees and third parties to ask questions and report concerns without fear of retaliation. Reporting avenues include email, an internal online form, a global 24-hour toll-free phone line with translation, mail, or in person. HP also offers anonymous reporting options, where allowed by law.

Identifying and addressing human rights risks

In 2018, HP evaluated eight corporate functions that had a role in respecting the human rights of workers against the appropriate UN Universal Declaration of Human Rights (UDHR) rights. HP identified salient risks in its Supply Chain Responsibility, Global Indirect Procurement, Human Resources, and Technical Regulations functions. HP’s due diligence process aims to address actual and potential adverse impacts in its operations and supply chain. It is a risk-based process and commensurate to the severity and likelihood of the impact, focusing on three key aspects: embedding responsible business conduct, ceasing, preventing, or remedying the impact, and reporting on implementation and results.

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

The GRI Standard addressed in this case is: Disclosure 412-1 Operations that have been subject to human rights reviews or impact assessments

What are the material issues the company has identified?

In its 2016 Sustainability Report HP identified a range of material issues, such as product energy efficiency, privacy, product life cycle management, labour practices in the supply chain, social application of IT. Among these, combating corruption stands out as a key material issue for HP.

Key stakeholder groups HP engages with:

Stakeholder Group

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics, HP interviewed key internal and external stakeholders.

What actions were taken by HP to combat corruption?

In its 2016 Sustainability Report HP reports that it took the following actions for combating corruption:

Implementing an anti-corruption compliance programme

HP’s anti-corruption compliance programme requires HP employees, business partners, and suppliers to follow all applicable national laws and regulations, including the U.S. Foreign Corrupt Practices Act and the UK Bribery Act. Additionally, suppliers must comply with HP’s rigorous internal standards, including its Anti-corruption Policy and Global Business Amenities Policy. In 2016, HP improved the functionality of its online Amenities Approval Tool, which streamlines approvals for providing or receiving business amenities such as meals, travel, entertainment, or gifts.

Conducting risk assessments and audits

Anticipating potential corruption risks across its global operations helps HP operate safely and securely, and protect its reputation. HP uses both internal data and Transparency International’s Corruption Perceptions Index to detect high-risk regions, assess risks related to third-party business partners and, subsequently, alert relevant employees. HP also benchmarks its approach against peer companies, to identify best practices in areas that include operational procedures, employee education, and supplier and partner training and monitoring. In addition, HP carries out regular audits focusing on potential corruption risks, including audits of its own operations. In 2016, HP assessed corruption-related risks for the company and also conducted risk assessments of third parties, including sales intermediaries or “agents,” suppliers, lobbyists, and channel reseller partners. These assessments used an improved due diligence questionnaire, focusing on organisations with high-risk profiles.

Providing anti-corruption training

Anti-corruption content is central to the annual SBC (Standards of Business Conduct) refresher training course for all HP employees. Additionally, HP provides specialist training to staff in sensitive jobs. For example, in 2016:

Over 27,000 employees worldwide received specialist training and there were an additional 41 live (face-to-face and virtual) sessions.

More than 2,000 employees completed training tailored to the unique requirements of conducting business with the U.S. government.

In addition, HP communicates globally year-round, to reinforce compliance policies, controls, and training. This is intensified around critical business times.

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

The GRI Standards addressed in this case are:

1) Disclosure 205-1 Operations assessed for risks related to corruption

Abstract

On a typical day, over 1.5 million products ship between HP’s manufacturing sites, distribution centers, and customers. Decreasing the carbon footprint of this global transportation activity is, thus, a key priority. In order to reduce the carbon footprint of product transportation HP took action to:

promote a more efficient supply chain network

choose less environmentally impactful transportation

lead improvements across the transportation industry

“The organization should identify its stakeholders, and explain how it has responded to their reasonable expectations.”

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics HP, working with the consultancy BSR (formerly Business for Social Responsibility), interviewed key internal and external stakeholders.

What actions were taken by HP to reduce the carbon footprint of product transportation?

In its 2016 Sustainability Report HP reports that it took the following actions for reducing the carbon footprint of product transportation:

Promoting a more efficient supply chain network

At every opportunity, HP optimises its global logistics network, improving efficiency, cutting costs and reducing environmental impact. When possible, HP consolidates shipments and sends products directly to customers or the distribution centers closest to them. In addition, HP seeks to identify new routes that reduce overall emissions and costs. HP also continues to use SmartWay partners for 100% of its products shipped by truck in the United States and Canada. This U.S. Environmental Protection Agency (EPA) program increases road transportation efficiency and reduces GHG emissions. In 2016, HP won its fifth SmartWay Excellence Award in the large shipper category.

Choosing less environmentally impactful transportation

In 2016, HP shifted from air transportation to less GHG-intensive modes, such as ocean freight. Doing so, reduced HP’s carbon footprint and prevented the release of 35,000 tonnes of CO2e emissions related to notebook shipments from China to the Americas, Asia and Europe.

Leading improvements across the transportation industry

In 2016, HP joined the Smart Freight Centre-led Global Logistics Emissions Council (GLEC), to develop the Global Logistics Emissions Framework. This framework standardises the global emission calculations for the transportation industry and incorporates fuel usage. This new methodology offers more accurate data for analysis, improving comparability across companies and industries. In addition, HP worked with the following organisations to reduce GHG emissions in its global supply chain: Clean Cargo Working Group, Green Freight Asia, the International Air Transport Association, the United Nations Climate & Clean Air Coalition and U.S. EPA SmartWay.

Which GRI Standards and corresponding Sustainable Development Goals (SDGs) have been addressed?

Partnering with governments, nonprofits and educational institutes to create opportunities – above all economic opportunities – in underserved communities, providing free skills courses and access to capital, is a key priority for HP. In order to use its technology, capital, and resources to create opportunities in underserved communities HP took action to:

provide business and IT skills through e-learning

collaborate to develop opportunities and skills in Myanmar

provide access to capital for low-income entrepreneurs

What are the material issues the company has identified?

In its 2015 Sustainability Report HP identified a range of material issues, such as product life cycle management, labor practices in supply chain, privacy, product energy efficiency, anti-corruption, data and product security, responsible paper sourcing. Among these, using its technology, capital, and resources to create opportunities in underserved communities stands out as a key material issue for HP.

In 2015, to identify and prioritize material issues, develop its sustainability strategy and set goals, HP conducted a materiality assessment and, in collaboration with BSR, interviewed key stakeholders, taking into consideration the Global Reporting Initiative’s (GRI) G4 Sustainability Reporting Guidelines.

What actions were taken by HP to use its technology, capital, and resources to create opportunities in underserved communities?

In its 2015 Sustainability Report HP reports that it took the following actions for using its technology, capital, and resources to create opportunities in underserved communities:

Providing business and IT skills through e-learning

HP’s global e-learning program, HP LIFE (Learning Initiative for Entrepreneurs), equips students, would-be entrepreneurs and small businesses with essential business and IT skills, free of charge. Offered in 7 languages and used in over 200 countries and territories, HP LIFE:

has reached around 580,000 registered users

includes a wide range of e-learning microcourses in marketing, finance, operations and other key business areas

is accessible 24/7

Collaborating to develop opportunities and skills in Myanmar

HP, in collaboration with the United States Agency for International Development (USAID), Indiana University’s Kelley School of Business, BSR, and VinaCapital’s Lotus Impact fund, launched the ADEPT (Advancement and Development through Entrepreneurship Programs and Training) program in Myanmar, to provide, through ADEPT learning centers using HP technology, entrepreneurship opportunities and skills, as well as capacity building.

Providing access to capital for low-income entrepreneurs

Partnering with Kiva, a nonprofit microlender, the Hewlett-Packard Company Foundation launched the ‘Matter to a Million’ employee engagement program, enabling, by means of a $25 credit received, every Hewlett-Packard Company employee to support, through a loan, Kiva borrowers (small business owners, farmers, shopkeepers in over 80 countries). More than 152,000 Hewlett-Packard Company employees participated in the program, and over 345,000 loans were provided.

Which GRI indicators/Standards have been addressed?

The GRI indicator addressed in this case is: G4-EC8: Significant indirect economic impacts, including the extent of impacts and the updated GRI Standard is: Disclosure 203-2 Significant indirect economic impacts
