How stakeholder engagement was made to identify material issues

To identify and prioritise material topics Kerry Properties engaged with its stakeholders through surveys (3,097 invitations sent with 1,982 responses received), focus groups (9 focus groups with 53 participants) and in-depth interviews (11 interviews with 13 participants).

What actions were taken by Kerry Properties to promote sustainability across its supply chain?

In its 2020 Sustainability Report Kerry Properties reports that it took the following actions for promoting sustainability across its supply chain:

Evaluating suppliers

Kerry Properties proactively encourages parties along its supply chain to follow ethical business practices. The “Vendor Code of Conduct”, which forbids forced labour, slave labour and child labour governs how Kerry Properties manages and monitors vendors, while its service provider evaluation helps Kerry Properties screen any third parties it onboards in carrying out its business. All building contractors, for example, are required to obtain ISO 14001 and ISO 45001 accreditations on Environmental Management System and Occupational Health and Safety Management System respectively.

Promoting sustainable procurement

Kerry Properties’ “Sustainable Procurement Policy” defines how it integrates sustainability principles into the procurement process. It serves to expand Kerry Properties’ standards for sustainability from its own operations to those of its supply chain partners. Kerry Properties has set high expectations for its partners such that the adverse environmental and social impacts of any products and services that it procures are minimised. Regarding environmental considerations in the procurement process for property management and property development, Kerry Properties’ “Green Procurement Manual” outlines requirements on environment-specific credentials of products that are used in its business activities. Requirements are intended to encourage the use of products that are, for example, recyclable and energy-efficient. Internal and external audits help validate Kerry Properties’ procurement practices enforcement against specifications in this manual. The specifications are reviewed and continuously improved according to updates made by industry standards. In 2020, Kerry Properties accomplished new goals it had set, including the launch of its “Sustainable Procurement Manual”. The “Sustainable Procurement Manual” was developed in line with ISO 20400:2017 Sustainable Procurement – Guidance and built upon Kerry Properties’ existing “Green Procurement Manual” to cover a broader scope of socio-economic considerations. Furthermore, Kerry Properties updated the specifications in the “Green Procurement Manual” for its property management and head office: the scope of items targeted was expanded from 50 to 60.

Engaging suppliers

Kerry Properties regularly engages with its partners to strengthen its relationship with them and the commitment to sustainability in its supply chain. Under its Kerry Project – Community Caring Scheme, Kerry Properties collaborates on events relating to various sustainability themes. For example, in partnership with a Hong Kong social enterprise, Kerry Properties hosted a total of eight workshops from October through December 2020 across four different property development teams to make dignity bibs for the elderly. More than 80 handmade bibs were donated to a local elderly care centre. The Green Construction Site Award was launched in 2013, with the aim of sharing environmental best practices through yearly, interactive activities centred around different themes. Kerry Properties adopts creative approaches, such as unconventional events, to stimulate awareness and spread its message in an engaging manner.

What are the material issues the company has identified?

In its 2019 Sustainability Report Kerry Properties identified a range of material issues, such as business ethics and integrity, information privacy, customer health and safety, service and product quality, socioeconomic compliance. Among these, treating waste responsibly stands out as a key material issue for Kerry Properties.

Stakeholder engagement in accordance with the GRI Standards

The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:

“The reporting organization shall identify its stakeholders, and explain how it has responded to their reasonable expectations and interests.”

Stakeholders must be consulted in the process of identifying a company’s most important impacts and their reasonable expectations and interests must be taken into account. This is an important cornerstone for CSR / sustainability reporting done responsibly.

How stakeholder engagement was made to identify material issues

To identify and prioritise material topics Kerry Properties engaged with over 700 stakeholders through face-to-face interviews, focus group workshops and a questionnaire survey.

What actions were taken by Kerry Properties to treat waste responsibly?

In its 2019 Sustainability Report Kerry Properties reports that it took the following actions for treating waste responsibly:

Recycling waste

Kerry Properties requires all contractors at construction sites to collect and sort waste properly and dispose of them according to local rules and regulations. It is also compulsory for them to track waste generation against the monthly recycling target set within Kerry Properties’ EMS (Environmental Management Systems). In 2019, Kerry Properties achieved and exceeded the target of 60% recycling rate of construction waste. Additionally, under the Enhanced Safety Performance and Environmental Protection Scheme, contractors are rewarded if more than 70% of C&D (construction and demolition) waste generated is recycled.

Providing employees with guidelines on waste management

In Hong Kong, Kerry Properties provides its employees with guidelines on waste management and reduction, to make sure that they understand the best practice. To prepare for the upcoming municipal solid waste charging scheme, Kerry Properties arranged training for property management staff. In China, Kerry Properties communicated the latest information and practices on waste sorting among employees and customers on social media platforms. In December 2019, Kerry Properties also held an EMS upcycling workshop in the head office though which it engaged its staff in sustainable waste management in a casual and practical way. For example, staff learned how to transform old jeans to stylish and practical denim bags.

Driving behavioural change among tenants, residents and customers

To drive behavioural change among tenants, residents and customers for promoting environmental protection, Kerry Properties provided relevant waste handling guidelines and organised a series of recycling campaigns, educational tours and workshops. In response to the introduction of mandatory garbage classification in Shanghai and Hangzhou, Kerry Properties introduced new waste management initiatives to Kerry Everbright City Phase III and Hangzhou Kerry Centre. Designated personnel were assigned with the responsibility of enforcing and monitoring the waste sorting and recycling. Tenants and customers were provided with clearly labelled containers and sorting guidance. To encourage waste reduction at the source, Kerry Properties also distributed reusable umbrella bags to tenants and residents as souvenirs during its green activities in Hong Kong. At Kerry Everbright City Phase III, Kerry Properties produced posters, notices and videos on waste sorting to raise awareness. Community activities, such as visiting tours, were also organised to promote best practices. At Hong Kong Kerry Centre, Kerry Properties held a 66-day “Bring Your Own Container” campaign to encourage customers to build a green habit. During the campaign, customers who brought their own takeaway containers could enjoy discounts at selected restaurants.

Monitoring waste

In 2019, Kerry Properties set up a smart waste monitoring system in five properties in Hong Kong. Waste and recyclable data were collected through cloud technology, enabling Kerry Properties to track waste generation more accurately and efficiently. At the same time, Kerry Properties organised educational activities on waste reduction and recycling.

Prioritising food waste management

Food waste has been one of Kerry Properties’ priorities in waste management. Selected properties in Hong Kong and China are equipped with food waste decomposers and, in 2019, food waste decomposers were installed in additional properties, for example, The Bloomsway, Mantin Heights, and Mont Rouge. Moving forward, Kerry Properties will explore the feasibility of introducing food waste decomposers to other managed properties. At MegaBox, Kerry Properties extended, since May 2019, the food waste collection and recycling programme to food and beverage tenants. Collected food waste was transported to O • PARK1, the first organic resources recovery centre in Hong Kong. Food waste is converted into biogas and compost, which are used for electricity generation and landscaping and agricultural purposes respectively.

Reducing plastic waste

To reduce plastic waste at the source, Kerry Properties introduced the “No Disposables” campaign to its managed properties in Hong Kong in 2019. Kerry Properties aims to ban disposable cutlery in all clubhouse activities through this campaign. Bottled water was also banned in all in-house staff engagement activities, meetings and large functions in Hong Kong. Instead, Kerry Properties provides water dispensers and water served with glasses whenever possible. To demonstrate its commitment to plastic management with its business partners, Kerry Properties also requires building contractors to ban plastic bottled water from all meetings at construction sites under “Kerry Project — Community Caring Scheme”. To promote recycling of plastic bottles, Kerry Properties installed smart plastic-bottle recycling machines at Kerry Everbright City Phase III, Shanghai Central Residences in Shanghai and MegaBox in Hong Kong. Kerry Properties offered monetary incentives for bottles returned, while plastic bottles collected will be used to produce new bottles.

What are the material issues the company has identified?

In its 2018 Sustainability Report Kerry Properties identified a range of material issues, such as customer information and privacy, prevention of bribery, extortion, fraud and money laundering, customer health and safety, fair and responsible marketing communication and information. Among these, building an inclusive and respectful workplace stands out as a key material issue for Kerry Properties.

To identify and prioritise material topics Kerry Properties engaged with both internal and external stakeholders through an interview, training, focus group discussions and surveys, receiving and analysing 824 valid questionnaires.

What actions were taken by Kerry Properties to build an inclusive and respectful workplace?

In its 2018 Sustainability Report Kerry Properties reports that it took the following actions for building an inclusive and respectful workplace:

Promoting diversity and equal opportunity

Kerry Properties does not tolerate discrimination on the grounds of sex, sexual orientation, pregnancy, marital status, age, disability, family status, ethnic origin, race or religious belief in all aspects of employment, training and career development and spells out its responsibilities, providing guidelines on equality, diversity and inclusion in the workplace in its Equal Opportunity Policy, Staff Handbook and Workplace Quality Policy. Additionally, Kerry Properties continues to improve diversity of the Board with the Board Diversity Policy and organises equality and diversity training for management staff from offices in Hong Kong and the Mainland. In the training sessions, staff are introduced to values of equality and diversity, and both international and local cases on issues such as LGBT (lesbian, gay, bisexual, transgender) and gender discrimination. Kerry Properties protects individuals from any form of discrimination and harassment in the workplace as stipulated in the Policy and Procedures for Handling Equal Opportunity, Discrimination and Sexual Harassment, and has also set up procedures and delegated responsible departmental personnel to guarantee a fair and timely investigation into any complaints. These policies, procedures and practices are reviewed on a regular basis to ensure their effectiveness.

Enforcing labour standards

As stipulated in its Workplace Quality Policy, Kerry Properties prohibits any form of child labour or forced labour, including bonded labour, indentured labour, slave labour or human trafficking. Relevant terms have also been incorporated into Kerry Properties’ Sustainable Procurement Policy Statement and the Vendor Code of Conduct, to make sure that its contractors and suppliers acknowledge its commitment. To prevent the hiring of underaged employees, Kerry Properties follows established procedures to scrutinise the personal data of the applicants. Guidelines regarding overtime work, allowances and compensation leave are provided in Kerry Properties’ employment-related policies. Regular reviews are carried out, to eliminate all forms of forced labour. To raise employees’ awareness of labour rights issues, a training session was conducted in 2018 for a group of management staff from offices in Hong Kong and Mainland China. The training highlighted recent observations around the world as well as international guidelines regarding the prevention of child labour and forced labour in business operations. Kerry Properties abides by the relevant laws and regulations in relation to employment and labour standards and, during the reporting period, there were no confirmed cases of non-compliance regarding compensation and dismissal, recruitment and promotion, working hours, rest periods, equal opportunity, diversity, anti-discrimination, and other benefits and welfare, as well as preventing child and forced labour.

What are the material issues the company has identified?

In its 2017 Sustainability Report Kerry Properties identified a range of material issues, such as quality management and after-sales service, customer health and safety, employee diversity and equal opportunities, discharge, handling and disposal of effluent and waste. Among these, promoting fair operating practices stands out as a key material issue for Kerry Properties.

Key stakeholder groups Kerry Properties engages with:

In its 2017 Sustainability Report Kerry Properties reports that it took the following actions for promoting fair operating practices:

Protecting customer data

Kerry Properties makes every effort to protect customers’ personal data, including their personal information, communications, bank account/ credit card information and use of the Internet and digital applications as customers access Kerry Properties’ information, products and services. Guidelines on handling paper documents and digital documents are available to all staff.

Implementing an Anti-corruption Policy

The policy states that all employees must not engage in any form of corruption activity, including bribery, extortion, fraud and money laundering. Additionally, Kerry Properties’ Whistleblowing Policy enables employees and any person dealing with the Group to raise concerns on possible improprieties within the Group, in confidence. The Chairman of the Audit and Corporate Governance Committee is responsible for overseeing this policy, carrying out independent investigations and taking appropriate follow-up actions. All records are handled with confidentiality and whistleblowers’ identity is not revealed without their consent. In 2017, in addition to the anti-corruption training provided for all new employees, Kerry Properties invited expert speakers from the Hong Kong Independent Commission Against Corruption (ICAC) to arrange a series of seminars for nearly 200 employees from the property services, sales and marketing, as well as the finance teams in Hong Kong. To manage corruption risks in its supply chain, Kerry Properties’ Vendor Code of Conduct states that no vendors and subcontractors shall accept any forms of corruption or bribery, including any payment or other forms of benefit conferred on any government official.

Promoting fair competition

Kerry Properties is committed to promoting fair competition and carrying out procurement and tenders for products and services in a fair and transparent manner. Guidelines and standard work procedures provide definitions about restrictive agreements with competitors, price fixing, market sharing, output limitation, bid rigging and information exchange. All directors and employees have to adhere to these guidelines.

Fostering responsible marketing communications

Kerry Properties seeks to ensure that its marketing communications are truthful, geared to the interests of customers, and measured up to rigorous ethical standards. Accordingly, Kerry Properties has developed a set of internal procedures to make sure its sales brochures and marketing materials are fully compliant with the Hong Kong Residential Properties (First-hand Sales) Ordinance.
