<p>Hap Seng Plantations’ commitment to safety is to ensure a continuous reduction in the number of accidents in its operations, while continuously instilling a safety-first mindset in its employees’ daily work culture. In order to promote workplace safety Hap Seng Plantations took action to:</p>

<p>In its 2019 Sustainability Report Hap Seng Plantations identified a range of material issues, such as water management, labour conditions &amp; welfare, relationship &amp; support to smallholders, transparency, community development. Among these, promoting workplace safety stands out as a key material issue for Hap Seng Plantations.</p>
<p><strong>Stakeholder engagement in accordance with the GRI Standards               </strong></p>
<p>The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:</p>

<p>To identify and prioritise material topics Hap Seng Plantations directly engaged with both its internal and external stakeholders through group session engagements, by phone and one-to-one interviews.</p>

<p>In its 2019 Sustainability Report Hap Seng Plantations reports that it took the following actions for promoting workplace safety:</p>
<ul>
<li><strong>Promoting the responsible handling of chemicals</strong></li>
<li>As dedicated spraying crews manually apply fertilizers and pesticides in Hap Seng Plantations’ plantations, each crew member receives continuous training in chemical handling, while all sprayers are required to wear PPE (personal protective equipment) covering the full body and must shower after each shift. Assistant managers and field conductors are responsible for ensuring compliance with safety procedures, which is monitored through internal safety audits. Spraying crews are also required to attend a health check every three months. This routine is particularly important for women workers. Pregnant workers are reallocated to new job tasks with less risk, such as general work (e.g. line sweeper), and are given two months of maternity leave after delivery. Hap Seng Plantations has also banned the use of paraquat in all its plantations since 2011, responding to stakeholders’ concerns about the chemical and its widespread misuse.</li>
</ul>

<li><strong>Implementing a standardised health and safety programme</strong></li>
<li>To remind its employees to adopt a safe work culture on a daily basis and avoid risk behaviours, Hap Seng Plantations has been implementing a standardised health and safety programme according to job type, across all operations, which includes the following:
<ul>
<li>Annual training on Safety Operating Procedure (SOP) for each work unit.</li>
<li>Daily monitoring of the work activity in each work unit by management representatives.</li>
<li>Induction training on SOPs for every new employee.</li>
<li>Safety committee meetings between management and worker representatives held on a quarterly basis to discuss actions required to improve the SOP of each work unit.</li>
<li>Periodical reviews on Hazard Identification Risk Assessment and Risk Control (HIRARC) in order to improve control measures and reduce the risk of accidents.</li>
</ul>
</li>
</ul>
<ul>
<li><strong>Applying</strong> <strong>specific safety procedures</strong></li>
<li>To not only reduce accident rates but also make OSH (occupational safety and health) a culture and a way of life, Hap Seng Plantations implements specific safety procedures, including:
<ul>
<li>Implementation of a Log Out Tag Out system (LOTO) in mill machinery. LOTO increases machine handling safety, especially during maintenance, by locking the switchboard to prevent accidental activation.</li>
<li>Implementation of Permit To Work (PTW) for high-risk and/or non-routine work – for example working at height, in extreme temperatures and in confined spaces. PTWs are only issued to individuals qualified to do the work, thereby ensuring compliance with SOPs.</li>
<li>Quarterly workplace safety inspections/audits carried out by a safety committee member to review any set safety measures requiring improvement.</li>
<li>Training workers on HIRARC for each work task to help them better understand task-specific hazards.</li>
<li>Engaging external occupational safety and health trainers, such as the National Institute of Occupational Safety and Health (NIOSH) and BOMBA, to conduct Authorised Entrant and Standby Person (AESP) competency training and fire training.</li>
</ul>
</li>
<li>Additionally, all Hap Seng Plantations’ estates and mills will need to routinely undergo chemical health risk assessments (CHRA). The CHRA is carried out once every five years to understand chemical hazards to health and ensure compliance with the Use and Standard of Exposure Chemical Hazardous to Health (USECHH) Regulation 2000. All Hap Seng Plantations workers are also covered by the Foreign Workmen Compensation Scheme, a general insurance policy that covers both injuries and fatalities.</li>
</ul>

<p>Judy Kuszewski, Chair of the Global Sustainability Standards Board, said: “We saw that there was a need for a rigorous methodology for measuring OH&amp;S performance, based on leading rather than lagging indicators. The Global Sustainability Standards Board set out to create a world-class reporting standard that emphasizes measures that prevent injuries and ill health, aligned with key instruments and with the latest trends in OH&amp;S management.”</p>
<p><strong>GRI-403 covers a wide range of workers, beyond the traditional idea of employees on a payroll</strong></p>
<p>The updated GRI standard puts the worker at the centre. It covers a wide range of workers, beyond the traditional idea of employees on a payroll, and offers a response to modern ways of working, such as the gig economy or the mobile workforce. The standard also focuses on worker’s recovery from work-related injuries, leaving behind measures that only focused on lost work time. The new GRI 403 standard includes disclosures on hazard identification, risk assessment, occupational health services, worker participation, and training, to protect workers from work-related injuries and ill health. In addition, to help workers lead healthier lifestyles, the standard also includes disclosures on non-occupational healthcare services and voluntary health promotion programs.</p>
<p><strong>A combined effort by world-class OH&amp;S experts</strong></p>
<p>The updated GRI standard is aligned with key ILO instruments and with the newly released ISO 45001 on occupational health and safety management systems. The update was completed by a diverse group of stakeholders, who combined knowledge and experience in occupational health and safety. Thus, the Project Working Group included representatives from businesses, labor, civil society, investors and various international organisations.</p>
<p>According to Richard Jones, IOSH Head of Policy and Public Affairs, “standards like this, supporting transparency in operations and supply chains worldwide, can help ensure reports are meaningful and comparable and drive better health and safety performance – benefiting individuals, businesses and societies.”</p>

<p><strong>What are the material issues the company has identified?</strong></p>
<p>In its 2016 Sustainability Report BEWG identified a range of material issues, such as environmental protection awareness raising, business compliance, product and service quality, offering environmentally friendly products and services. Among these, promoting workplace safety stands out as a key material issue for BEWG.</p>
<p><strong>Stakeholder engagement in accordance with the GRI Standards</strong></p>
<p>The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:</p>

<p><strong>How stakeholder engagement was made to identify material issues </strong></p>
<p>To identify and prioritize material issues BEWG carried out a stakeholder survey, using an online survey platform. As a result, BEWG received 377 pieces of stakeholder feedback, from 19 provinces.</p>

<p>In its 2016 Sustainability Report BEWG reports that it took the following actions for promoting workplace safety:</p>

<li><strong>Clarifying safety management responsibilities</strong></li>
<li>BEWG urged senior management staff in charge of business units to sign a safety responsibility letter, which clearly identified safety accountabilities and established safety objectives. In addition, BEWG conducted surveys regarding the safety management team composition of each business unit, requiring them to create dedicated safety management positions with clearly defined job descriptions and accountabilities.</li>
</ul>

<li><strong>Identifying and eliminating safety hazards</strong></li>
<li>BEWG believes that “Hazards are accidents”. As a consequence, BEWG conducts regular, specific, all-inclusive, periodic inspections, along with special inspections before special events or holidays, to detect and eliminate safety hazards.</li>
</ul>

<li><strong>Organizing safety training and awareness raising activities for employees</strong></li>
<li>BEWG organizes the Safety Month event, focusing on raising the safety alertness and safety accident preparedness of its employees through, among others, training and education, safety hazard screening and elimination and emergency drills. Additionally, BEWG uses on-site electric displays, a safety knowledge competition and safety education videos to help employees develop safety knowledge and a stronger safety awareness. Moreover, to improve employees’ awareness of fire hazards and help them better protect themselves and put out fire in case of a fire accident, BEWG collaborated with the local fire brigade and financial institutions and implemented a series of fire safety education programmes. These programmes included fire hazards inspections and fire emergency drills, and employees were provided with fire safety tips, fire alarm information, fire distinguishing skills and safe escape tips.</li>
</ul>

<p>Ardentec has four manufacturing sites with a total space of more than 70,000 square meters and employs 1,628 people worldwide, striving to create and maintain a safe and healthy work environment. In order to promote workplace health and safety Ardentec took action to:</p>

<p><strong>What are the material issues the company has identified?</strong></p>
<p>In its 2016 Corporate Social Responsibility Report Ardentec identified a range of material issues, such as integrity management, business performance and profitability, customer service and satisfaction, risk management, respect for human rights. Among these, promoting workplace health and safety stands out as a key material issue for Ardentec.</p>
<p><strong>Stakeholder engagement in accordance with the GRI Standards</strong></p>
<p>The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:</p>

<li>care for female employees: among others, Ardentec arranges regular annual female three-in-one cancer screenings and provides a specific color of working clothes for pregnant employees who work in the factories, to keep others aware</li>

<p>To identify and prioritize material issues ASE engaged with its stakeholders through a survey – 866 questionnaires were completed by stakeholders.</p>
<p><strong>What actions were taken by</strong> <strong>ASE</strong> <strong>to</strong> <strong>provide employees with a safe and healthy work environment?</strong></p>
<p>In its 2016 Corporate Sustainability Report ASE reports that it took the following actions for providing employees with a safe and healthy work environment:</p>

<li><strong>Implementing an OHS management system</strong></li>
<li>ASE implements an OHS (occupational health and safety) management system to prevent all types of accidents and ensure employees&#8217; health and safety. The OHS management system covers occupational safety, emergency response, work injury and occupational disease prevention, industrial hygiene, physical labor work, machinery protection, public health and accommodation, and health and safety information. Additionally, every year ASE assesses and identifies risks for all new or modified manufacturing processes, determining risks and applying control procedures where needed.</li>
</ul>

<li><strong>Promoting disaster and emergency preparedness</strong></li>
<li>All ASE manufacturing facilities have disaster response and recovery plans and, once a year, carry out full-scale emergency drills in cooperation with local authorities. Some of ASE’s facilities are located in earthquake and typhoon prone areas, and these drills enable the company to effectively prevent major damages to human lives or buildings, as well as disruptions to its production processes. In 2016, ASE conducted 937 drills for earthquakes, fire and chemical disasters.</li>

<li><strong>Providing employees with health and medical care</strong></li>
<li>ASE offers employees complete health and medical care, which includes preventative care, statutory infectious disease emergency response procedures and emergency rescue response procedures. By monitoring and analyzing employees&#8217; health records, ASE is able to identify risk areas affecting employees&#8217; health and to actively improve their physical well-being.</li>

<p>In its 2016 Corporate Social Responsibility Report Compal reports that it took the following actions for promoting occupational health and safety:</p>

<li><strong>Promoting workplace safety</strong></li>
<li>Compal requires all employees to wear staff IDs inside plants. Additionally, an access card system at every entrance and exit controls personnel’s access. For clients, suppliers and other visitors a security system is utilized to record the time of visit and number of visitors, regulating the areas and time open to visitors. Moreover, Compal&#8217;s security personnel work in shifts 24 hours a day to control entry of personnel and objects, conduct safety inspections day and night inside and outside plants, monitor the presence of visitors and overtime workers, check incoming/outgoing vehicles and perform traffic control.</li>
</ul>
<ul>
<li><strong>Identifying hazards in the work environment</strong></li>
<li>Every Compal plant is staffed with a unit responsible for carrying out inspections and identifying hazards in the work environment. These inspections include, among others, traffic safety, power safety and security measures and drinking water, smoke detector, lighting protection and fire safety equipment tests. In addition, the Smart Devices Business Group tests office lighting, CO<sub>2 </sub>concentration, electromagnetic absorbency rate and lab organic solvent concentration, twice a year.</li>
</ul>

<li><strong>Providing emergency response training for employees </strong></li>
<li>Once a year, Compal employees attend a training course on disaster prevention. Employees are required to complete the course, which provides information on how to deal with situations such as fire, storm, flood and earthquake. <li>Compal offers red meat-free menus on the first working day of each month, to address employees’ dietary needs. Moreover, foods served in the cafeteria are specially designed by nutritionists every week, to control calorie intake and ensure employees&#8217; healthy diet. Additionally, Compal’s Fitness and Recreation Center enables employees to exercise after work, relieve physical and mental stress built up at work and meet other employees who share the same interests.</li>

<li>Ashok Leyland’s occupational safety program includes all measures taken to prevent work accidents, work-related illnesses and occupational diseases. The safety program also comprises accident investigation, ergonomics, emergency response, hazard identification, risk assessment and constant workplace inspections. In addition, Ashok Leyland applies a health and safety policy which covers all the manufacturing, R&amp;D, warehouse, distribution centers and office buildings across the company’s plants.</li>

<li>To make sure health and safety goals are met, Ashok Leyland has established safety committees, with equal representation of employees and management. <p>GAR manages 167 oil palm estates, with a total area of 485,600 hectares. Promoting a healthy and safe working environment for 49,000 direct employees, 67,000 smallholders and 58,000 casual workers is, thus, a key priority. <p><strong>What are the material issues the company has identified?</strong></p>
<p>In its 2015 Sustainability Report GAR identified a range of material issues, such as deforestation of High Carbon Stock (HCS) forests and peat lands, community relations and resolution of community conflicts, degradation of High Conservation Value (HCV) forests and biodiversity, free, prior, informed consent (FPIC) for indigenous and local communities. Among these, promoting employee health, safety and wellbeing stands out as a key material issue for GAR.</p>
<p><strong>Stakeholder engagement in accordance with the GRI Standards</strong></p>
<p>The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:</p>

<p>To identify and prioritize material issues GAR conducted a survey among external stakeholders and internal management. The external stakeholders – 119 people – consulted through the survey included academia, banks and investors, civil society organizations, customers and consumers, certification bodies, trade and industry associations and Indonesian and Singaporean government.</p>

<p>In its 2015 Sustainability Report GAR reports that it took the following actions for promoting employee health, safety and wellbeing:</p>

<li>GAR launched a new Health and Safety policy to:

<li>raise awareness of health and safety management among employees and related stakeholders</li>

<li>identify and manage operational risks, to prevent and reduce work-related accidents</li>

<li>GAR has approximately 530 dedicated OHS experts within its workforce and carries out periodic training for all employees, in line with national regulations. <li><strong>Offering employees access to healthcare</strong></li>
<li>Committed to providing its entire workforce with access to healthcare, GAR has built healthcare facilities on most of its estates. The facilities are staffed with qualified healthcare professionals, who participate in regular training to improve their skills. At the end of 2015, the company had 150 polyclinics with inpatient facilities, 26 doctors and 291 paramedics, serving on average 1,113 patients every day. The medical care these healthcare facilities provide includes pre-employment medical check-ups for new recruits and special medical check-ups for workers exposed to possible health and safety hazards.</li>

<li>To identify and evaluate occupational health risks ExxonMobil conducts health hazard exposure assessments, relating to field work activities. Industrial hygiene professionals carry out these assessments, using a global, all-inclusive approach.</li>

<li><strong>Implementing prevention, control and monitoring programs</strong></li>
<li>To protect ExxonMobil workers and their families, ExxonMobil has developed and implements prevention, control and monitoring programs. These programs deal with the threat of infectious diseases like malaria, tuberculosis, HIV/AIDS, Ebola and other outbreaks. One such program is the company’s <em>Malaria Control Program. </em>The program strives to prevent and swiftly manage malaria cases among employees and contractors working in or traveling to malaria risk areas.</li>

<li><em>Culture of Health</em> is a health and wellness program designed to support the health of ExxonMobil employees and reduce health care costs. <p>In its 2016 Sustainability Report Evonik identified a range of material issues, such as compliance, customer satisfaction, product stewardship, innovations/technologies. Among these, protecting and promoting employee health stands out as a key material issue for Evonik.</p>
<p><strong>Stakeholder engagement in accordance with the GRI Standards</strong></p>
<p>The Global Reporting Initiative (GRI) defines the Principle of Stakeholder Inclusiveness when identifying material issues (or a company’s most important impacts) as follows:</p>

<p><strong>How stakeholder engagement was made to identify material issues </strong></p>
<p>To identify and prioritize material topics Evonik surveyed approximately 500 representatives of stakeholder groups, including customers, suppliers, local residents around the company’s sites, analysts, investors and representatives of universities, research institutes, professional associations, political parties, non-governmental organizations and the media. Evonik employees also participated in the survey, through the intranet.</p>

<li>At Evonik’s sites specific processes are followed for accidents where employees have come into contact with chemicals and need special medical treatment. In addition, Evonik’s emergency medical management includes pandemic plans and regular training exercises. A wide-ranging preventive program for employees on business trips and foreign assignments is also implemented, including a global emergency management system for medical problems and risks to personal safety.</li>

<li><strong>Providing preventive healthcare</strong></li>

<li>To promote employees’ health, Evonik supports long-term programs on exercise, diet, stress and work-life balance, substance abuse and avoiding infections, intended to encourage employees to adopt a healthy lifestyle. Fit-for-life seminars are also available to employees, concentrating on a healthy lifestyle and on maintaining long-term well-being and employability.
